Job Description
PURPOSE AND SCOPE:
The Coordinator II, Veterans School Certifying Official (SCO) serves as the primary point of contact for veteran and military affiliated students using education benefits through the United States Department of Veterans Affairs (VA) and the Department of Defense (DoD). Provides comprehensive support to veteran and military affiliated students as they pursue their educational and career goals. The SCO is responsible for ensuring the accurate and timely certification of benefits, maintaining strict compliance with federal regulations and providing comprehensive advising support to students throughout their academic journey. This role requires extensive knowledge of VA approved programs, institutional education programs, federal and state regulations, and college policies, as well as best practices for effectively serving a population of veterans and military affiliated students across the Lone Star College System.
ESSENTIAL JOB FUNCTIONS:
- Processes VA enrollment certifications and adjustments in Enrollment Manager, initiating financial transactions that result in tuition and fee payments to the institution, Basic Housing Allowance (BAH), book payments to students, or debt creation for the student or institution when enrollment changes occur. Ensures certifications are accurate, timely, and compliant to protect institutional revenue, prevent overpayments, and reduce financial liability
- Monitors student eligibility, academic standing, satisfactory academic progress, and program applicability; assists in reconciling VA payments, debts, and overpayments in collaboration with Student Financial Services to minimize financial risk to the students
- Supports compliance activities by responding to VA surveys, conducting internal audits to ensure data accuracy, and maintaining required annual VA training and certifications
- Serves as a resource for veteran and military-affiliated students regarding VA education benefits, providing individualized advising on eligibility, usage, policies, payment timelines, and academic impact; assists students with academic planning, enrollment procedures, military credit articulation, and onboarding/ orientations
- Delivers proactive outreach and ongoing advising to support student success, retention, and resolution of academic or benefit-related challenges; provides general academic and workforce guidance as needed
- Serves as the primary liaison between the college and external agencies, including the Department of Veterans Affairs (VA), Department of Defense (DoD), and state approving agencies, while coordinating with internal departments such as Financial Aid, Registrar, Advising, Student Accounts, and Disability Services to resolve student issues
- Provides responsive customer support to students through multiple channels and develops clear communications, including guides, FAQs, and policy updates, to ensure understanding and compliance with processes
- Maintains secure and compliant student records in accordance with federal, state, and institutional requirements; tracks certifications, enrollment changes, academic progress, and benefit usage; prepares and submits required reports and utilizes VA systems, student information systems, and case management tools to document interactions and monitor outcomes
- Supports program operations by assisting with the planning and implementation of veteran-focused programming, workshops, recognition events, and resource fairs
- Analyzes processes and recommends improvements to enhance service delivery and reduce delays; contributes to operational continuity by cross-training staff and assisting during high-volume periods
- Participates in ongoing professional development, including conferences, webinars, and mandatory SCO training, to maintain current knowledge and compliance
- Actively maintains proficiency across multiple critical areas including Compliance, Federal Student Aid process, Satisfactory Academic Progress, Hazlewood Exemption, and Tuition Assistance (TA)
- Responsible for other reasonable, related duties as assigned

PHYSICAL ABILITIES:
The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.
WORK SCHEDULE AND CONDITIONS:
- Equipment used includesPC workstations running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment
- Internal and external contacts as needed to carry out the functions of the position
- Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
- Associate degree or higher and at least 3 years of experience, or an equivalent combination of education and experience
PREFERRED QUALIFICATIONS:
- At least 3 years of experience in postsecondary education
Salary
Hiring salary range is $44,793 - $51,512
Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education. Should you receive an offer of employment from Lone Star College, the resume submitted in the application process will be utilized to calculate your salary offer.
