Description
Salary: $70,000 plus performance based annual bonus
POSITION DESCRIPTION
The Special Events Director is responsible for strategic planning and execution of fundraising, public awareness, and stewardship events. Partners closely with Board of Governors, the BGCS Foundation, Chief Development Officer, Development and Club staff, Marketing & Communications, and leadership volunteers to develop strategies to meet goals and manage logistics for all special events. Evaluates and reports results, with recommendations for modifying events and managing the events portfolio to improve success and grow revenue over time.
ESSENTIAL FUNCTIONS
Essential functions and responsibilities include, but are not limited to:
Strategic Planning:
- Leads the planning and implementation of special events.
- Works with Board of Governors, the BGCS Foundation, Chief Development Officer, Development and Club staff, Marketing & Communications, and other stakeholders to ensure that all aspects of fundraising, logistical support and event management are executed successfully.
- Negotiates with vendors and sponsors to secure event-related goods and services.
- Works with program staff and Marketing & Communications to ensure that messaging and program content represents the organization’s mission and strategic priorities.
- Evaluates success of special events, as determined by appropriate measures such as attendance, revenues generated, public relations activity, and enrollment in Club programs to ensure events are meeting financial and community needs.
- Assesses and manages the growth and direction of the special events portfolio.
Resource Development:
- Plans and executes creative events that bring awareness to the organization and raise critical funding for programs and operations.
- Solicits sponsorships, underwriting, in-kind donations, table and ticket sales, and auction and raffle items.
- Identifies, recruits, trains, and leads volunteer event committees responsible for the financial success of BGCS special events.
- Identifies, cultivates, and stewards event chairs.
- Develops and implements stewardship strategies to keep sponsors and event participants engaged between events.
- Serves as liaison to the Associate Board.
- Works with Development Team to identify and cultivate major donor prospects from event participant pool.
Resource Management:
- Works closely with the Chief Development Officer on event budgets.
- Manages administrative and operational systems to:
- Track expenses involved in implementing all special events.
- Record all direct and indirect revenues realized by events.
- Recognize contributions with acknowledgement letters.
- Understands and carries out the procurement process for events including logistical processing of purchase orders, receipts, and internal and external coordination.
- Records and completes necessary paperwork and follow up for future events.
Marketing & Communications:
In collaboration with VP Marketing & Communications:
- Increases visibility of BGCS development activities and maintains public trust.
- Contributes to the design and development of public relations tools for use in the promotion of fundraising and public awareness including newsletters, radio and TV advertisements, press releases, and marketing collateral.

Requirements
Required:
Bachelor’s degree from an accredited college or university in a related field.
Minimum 3 years’ experience in event planning and management for a non-profit organization.
Proven effectiveness and success in event planning and ability to organize and complete multiple tasks simultaneously.
Strong volunteer management experience.
Experience with leveraging a CRM as a donor moves and event management tool.
Excellent interpersonal and internal/external customer service skills.
Outstanding communication skills, both verbal and written.
Demonstrated experience in working with corporate executives, high-net-worth individuals, and leadership volunteers.
Must be proficient in Microsoft Suite applications.
Flawless ethics and integrity.
Safety oriented mindset.
