Executive Assistant - Office of the Chancellor (CS26-198)
The Executive Assistant in the Office of the Chancellor provides high-level administrative and operational support to ensure the effective and efficient operation of the Chancellor's Office. This role manages complex executive functions, supports institutional priorities, and maintains operational continuity through strategic coordination, sound judgment, and discretion. As a highly visible representative of the Chancellor's Office, the Executive Assistant engages professionally with senior leadership, internal partners, external stakeholders, and the public.
What You Will Do:
- Manage the Chancellor's complex, fast-paced calendar and correspondence, triaging requests, prioritizing engagements, and ensuring smooth decision flow
- Provide senior-level administrative and operational support to the Chancellor, Executive Vice Chancellor and Chief of Staff, and members of the Chancellor's executive staff
- Oversee executive job searches, serving as a primary liaison between the Chancellor's Office and campus departments
- Oversee core administrative functions, including budget tracking, records management, facilities and equipment oversight, and logistics
- Design, implement, and maintain efficient systems and business processes that promote consistency, continuity, and continuous improvement
- Support the Executive Vice Chancellor and Chief of Staff with tracking projects, deadlines, and deliverables for executive initiatives and cross-functional priorities
- Coordinate domestic travel, including itineraries, lodging, transportation, and expense reconciliation for the Executive Vice Chancellor and Chief of Staff
- Support planning and execution of executive meetings, offsites, and high-level events
- Conduct research, prepare reports, and support special projects at the direction of the Chancellor and the Executive Vice Chancellor and Chief of Staff
- Handle highly sensitive and confidential matters with the utmost discretion, integrity, and professionalism
- Serve as backup to the Senior Executive Assistant, as needed
FLSA: Non-Exempt
Minimum Acceptable Qualifications
- High school diploma or equivalent.
- Five (5) years (60 months) of assistant/clerical experience that included the performance of responsible administrative assistant duties.
Preferred Qualifications
- Bachelor's degree
- Knowledge and ability to develop and manage diverse office business responsibilities and procedures
- Experience using Microsoft Suite, basic knowledge of computer systems
- Experience compiling annual and financial reports
- Experience working with technology at the level of facilitating programs in virtual platforms and hybrid formats
- Experience with event management and program planning
- Work well with various university stakeholders and offices across the university community
