As part of our ongoing growth and expansion, we are seeking a dynamic and experienced Executive Administrative Specialist to support NOAA's Office of Response and Restoration headquartered in Silver Spring, MD.
The Executive Administrative Specialist provides comprehensive administrative support to the NOAA Office of Response and Restoration (OR&R) Directorate, ensuring seamless operations at a senior level. This role involves managing executive calendars, developing executive-level briefing materials, facilitating communication with leadership, and assisting with accomplishment summaries. Serving as a central point of contact for leadership and staff, the Specialist ensures smooth daily operations, effective communication, and timely execution of priorities in a fast-paced environment. The incumbent also supports the Controlled Correspondence Coordinator, assists the Management Team with special projects as needed, and serves as a Timekeeper within WebTA for OR&R federal staff.
This is a Hybrid Position with two days in-office per week and three days optional telework.
Responsibilities
Position Responsibilities:
- Provide Directorate support, including management of executive calendaring and scheduling coordination across multiple offices; track recurring meetings, monitor for conflicts, and implement schedule efficiencies such as shorter meetings, buffer times, and meeting resources (e.g., agenda/read-ahead requirements); and collaborate with the OR&R Chief of Staff and leadership to adjust schedules as needed and ensure alignment with organizational priorities.
- Coordinate with meeting attendees to prepare agendas, briefing packets, advanced correspondence, and collection of staff input, when necessary. Assist with the development of leadership briefing packets to prepare for senior-level engagements.
- Support OR&R with scheduling and logistics coordination for staff office hours, quarterly all-hands, and ad hoc meetings requested by OR&R leadership.
- Coordinate with the OR&R Chief of Staff to manage the Director signature requests process.
- Work with OR&R Chief of Staff to coordinate Director travel, including itineraries, stakeholder meetings, and site visits.
- Serve as a backup travel preparer for the OR&R Director.
- Support the development of accomplishment summaries based on information provided by the Director and input from leadership.
- Provide Controlled Correspondence support, including tracking, managing, and assisting with incoming/outgoing correspondence requests/actions; collaborating with appropriate divisional POCs to respond to requests prior to deadlines.
- As requested, work with the Business Operations Division to support office supply needs for OR&R staff in Silver Spring, MD.
- Ensure all documentation meets NOAA/NOS standards for clarity, accuracy, and timeliness.
- Support the OR&R Management Team as backup Executive Secretariat and with special projects as requested.
- Provide consistent support with a high level of responsiveness and attentiveness during fast-paced situations.
- Support timekeeping for OR&R within the webTA system as needed. Tasks may include adding new employees, creating accounts, editing, validating, and correcting timesheets, submitting leave and premium pay requests, adding schedules, and running reports.
Qualifications
Qualifications:
- Bachelor's degree and minimum of 4 years of directly related experience.
- Self-motivated, creative, and energetic with an ability to work well individually and cooperatively with a range of individuals.
- Excellent written and oral communications skills.
- Excellent organization skills and attention to detail.
- Familiarity with formatting and drafting memorandums and other supporting documentation.
- Familiarity working within a federal government agency is preferred but not required.
