Position Overview:
AttainX is seeking a detail-oriented and reliable Administrative Assistant II to provide comprehensive administrative support to individuals, teams, and departments within a federal government environment. This role is ideal for professionals who have gained proficiency in office administration and are comfortable managing a variety of clerical and operational tasks. The successful candidate will support day-to-day activities by preparing reports, managing data, scheduling events, and responding to internal and external inquiries, all while maintaining high standards of confidentiality and professionalism.
Basic Minimum Qualifications:
- High school diploma or equivalent required.
- 2 to 4 years of administrative support experience in a professional setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access)
- Proficiency in Google Workspace: Google Sheets, Docs, Slides, and Forms.
- Experience using databases and electronic records management systems.
- Ability to manage calendars, schedule meetings, and support travel coordination.
- Demonstrated ability to work under moderate supervision with increasing independence.
Preferred Qualifications:
- Prior experience in a federal or government contracting environment.
- Experience with Multi-line phone systems.
- Typing speed: 45+ wpm
- Familiarity with invoicing, expense reporting, and office procurement systems.
- Experience with PII (Personally Identifiable Information) handling procedures.
- Experience maintaining timekeeping data, tracking and verifying hours for employees
- Excellent verbal and written communication skills.
- Strong organizational, time management, and multitasking abilities.
- Ability to work both independently and collaboratively within a team.
Duties and Responsibilities:
- Provide administrative support to individuals, teams, or departments across the organization.
- Collect, review, and analyze data; prepare reports, charts, budgets, and presentation materials using word processing, spreadsheet, or specialized software.
- Maintain and archive records, files, and databases to ensure efficient document management.
- Prepare and distribute regular reports and communications to internal and external stakeholders.
- Screen and respond to routine calls and inquiries, redirecting as necessary with appropriate correspondence or messaging.
- Coordinate meetings, appointments, travel arrangements, and group events.
- Manage recurring administrative processes such as office supply inventory, invoicing, and expense reporting.
- Support the implementation of organizational procedures and uphold federal compliance in document handling and scheduling.
